Planning a Wedding

To maintain the smoothest possible planning for your wedding, we would like your menu selection, an estimated guest count, and a basic room layout no later than two months in advance of your reception. At your final meeting, ten business days prior to your wedding date, you will need to inform University Catering of your final guest count and table needs.

Tables

Guest tables are available in 5-foot rounds only, which comfortably accommodate eight guests. Larger tables or 6-foot rounds are subject to off-campus rental fees, if requested. Included in your Reception Package are standard linens, china, glass, and service wear, as well as mirrors and votives, if arranged.

Your Event Manager Will Need to Know

  • A timeline of your wedding reception.
  • The exact time for the set-up and breakdown of band or DJ equipment. University of Richmond provides standard 110volt outlets/15amps. All equipment must be removed at the end of the event.
  • The exact time for the delivery of your wedding cake. This needs to be no sooner than two hours before the start of your wedding reception. If you are having flowers on your cake, you need to arrange for your baker and florist to arrive at the same time. The University of Richmond Catering Department is not liable for cakes delivered and assembled prior to the two-hour time limit.
  • The exact time your centerpieces will be delivered and whether or not they will need to be refrigerated.
  • The exact time of delivery of the bridal portrait and the name of the person who will be in charge of the portrait and who will see that it is picked up after the reception. The University of Richmond takes no responsibility or liability for your bridal portrait but will provide an easel on request.
  • A seating chart and table assignment of guests when multiple entrees are offered.
  • The name of the person who will be responsible for the gift table and removing the gifts when at the end of the reception. The University of Richmond is not responsible or liable for gifts. We do not allow any gifts to be mailed nor shipped to the University of Richmond's Alumni Center or the Catering Department.
  • The exact number of vendor or band member meals, if any, and what type of meals will be needed, as well as instructions for vendors or band members with regards to their ability to consume alcohol during your event.
